Five steps, and three signatures

Each step ends when something is provably true, not when a date arrives — and nothing moves on without your sign-off.

  1. Export

    Days 1–2
    We do:
    Back up your Tally company and collect every spreadsheet the business runs on.
    You do:
    Hand over the backup or Tally machine access; name one person who knows the books.
    Done when:
    Every source listed; a trial balance as at the export date printed from Tally.
  2. Mapping

    Days 2–5
    We do:
    Map ledgers, groups, items and parties; flag duplicates, gaps and missing GSTINs.
    You do:
    Go through the mapping sheet with us — especially the proposed merges.
    Done when:
    You have signed off the mapping. Nothing is merged on a guess.
  3. Reconciliation

    Days 5–7
    We do:
    Load the data and check it against Tally: trial balance, stock quantity and value, bill-wise outstandings against party balances.
    You do:
    Review the differences we could not clear — each explained in a line.
    Done when:
    Every ledger matches to the rupee, or each difference left is explained and accepted by you.
  4. Parallel run

    2–4 weeks, across one month-end
    We do:
    Run OneSuite beside your existing books and compare the two, GST return figures included.
    You do:
    Keep entering in both. Tally stays your book of record until this step is signed off.
    Done when:
    A month-end closes with the same trial balance and GSTR-1 figures in both systems.
  5. Cutover

    One day — usually the 1st of a month
    We do:
    Carry the final balances across; keep the old data as a searchable, read-only archive.
    You do:
    Approve the cutover. From the next morning, the business runs on OneSuite.
    Done when:
    Your approval. Until then, nothing is switched off.

What we need from you

Less than you would think — most of it is already sitting in Tally.

  1. Your Tally data backup

    Or access to its machine — and the Tally version.

  2. Three reports

    Trial balance, stock summary, bill-wise outstandings — at cutover.

  3. Your last two GST returns

    GSTR-1 and GSTR-3B, to tie the tax figures.

  4. Every spreadsheet

    Including the messy ones.

  5. The employee list

    Current salaries, statutory numbers.

  6. One person who knows the books

    About an hour a day, during mapping and reconciliation.

  7. Three sign-offs

    Mapping, reconciliation, cutover.
